Managing attendees & RSVPs
See who’s going, change RSVPs, add emergency contacts and remove people.
Everyone on an adventure appears in its attendee list. On the overview you'll see a summary of who's going; click View Attendees (or Manage Attendees if you're the organiser) for the full list.
The attendee list
People are grouped by their RSVP:
| Group | Meaning |
|---|---|
| Going | Confirmed. Going members can edit the plan. |
| Maybe | Not sure yet. |
| Invited | Added to the adventure but hasn't answered yet. |
| Can't Go | Not coming, but can still see the plan. |
| Emergency contacts | Shown separately — see below. |
Attendee counts, cost splits and RSVP reminders only include people on the trip, never emergency contacts.
Changing RSVPs
- Each person sets their own from the dropdown next to their name, or from Your RSVP on the overview. See RSVPing.
- As organiser, you can set anyone's RSVP — handy when someone tells you in the group chat instead of updating it themselves. You can also set people back to Invited.
People added by name only (no account yet) can't RSVP themselves until they join — you can set their status for them.
Adding people
See Inviting people for adding people by email and sharing the link, and Controlling who can join for approving join requests.
Emergency contacts
An emergency contact is someone who isn't on the trip but should know the plan — a partner, a parent, a club safety officer.
To add one, use Manage Attendees → Add Member and choose the Emergency Contact role. They get an email invite like anyone else.
Emergency contacts:
- can see everything on the adventure, including the itinerary, transport and trip brief;
- can't edit the plan or RSVP, and aren't counted as attendees or included in costs;
- can post in the discussion;
- are listed (with their email address, visible to members only) in the trip pack, so everyone on the trip knows who's been told.
To change someone between attendee and emergency contact, remove them and add them again with the right role.
Removing someone
As organiser, open Manage Attendees and click the remove icon next to their name. You can remove anyone except yourself.
Anything already assigned to them — a car seat, a meal to cook, a task, an expense split — isn't cleared automatically, so check those sections and reassign things if needed.
